Job Overview:

We are seeking a proactive and detail-oriented HR Administrator to join our dynamic Human Resources team. This role will provide essential support in all aspects of the employee lifecycle, including onboarding, new hire orientation, and compliance, while ensuring efficient documentation and recordkeeping. The HR Administrator will also assist with HR tasks, contribute to employee engagement activities, and help manage pre- and post-employment processes. Key Responsibilities:

  • Onboarding Management: Facilitate the onboarding process for new hires, ensuring all necessary paperwork, documentation, and system access are completed in a timely and efficient manner.
  • New Hire Orientation: Coordinate and lead new hire orientation sessions, providing new employees with a smooth and engaging introduction to the company culture, policies, and benefits.
  • Pre-Employment Verification: Manage pre-employment activities such as verification of driving records, driver’s licenses, background checks, and scheduling of pre-hire FDOT exams.
  • Compliance: Ensure adherence to all HR-related legal and regulatory requirements, maintaining up-to-date knowledge of labor laws and company policies.
  • Documentation and Recordkeeping: Maintain accurate and organized employee records in compliance with company policies and legal requirements, including contracts, performance reviews, and personal details.
  • I-9 and E-Verify: Administer I-9 documentation and E-Verify processes for all new hires, ensuring compliance with federal regulations.
  • HR and Recruitment Support: Support the HR and Recruitment team with new hire, employee relations, and other HR tasks as needed.
  • Engagement and Event Planning: Support the planning and execution of employee engagement initiatives, team-building events, and company-wide activities to enhance workplace culture and morale.
  • Recurring Background and Compliance Monitoring: Track and request yearly background checks, MVR (Motor Vehicle Record) checks, and other required checks for employees as needed, ensuring they are completed on time and in compliance with company policies.
  • Running Reports: Generate and maintain HR reports on employee data, attendance, turnover, and other metrics for internal use and compliance tracking.
  • Support the HR Manager: Provide administrative support to the HR Manager, including scheduling meetings, preparing HR documentation, and assisting with special projects.

Qualifications:

  • A Bachelor’s Degree in Human Resources or a related field is preferred.
  • Proven experience in an administrative or HR support role, preferably in a fast-paced environment.
  • Basic understanding of HR best practices, labor laws, and compliance requirements.
  • Experience with HR software and tools (e.g., HRIS systems, E-Verify, payroll software) preferred.
  • Exceptional organizational skills with the ability to manage multiple tasks and deadlines.
  • Strong communication skills, both written and verbal.
  • Detail-oriented and able to handle confidential information with discretion.
  • Ability to work collaboratively with all levels of staff and management.
  • Bilingual is preferred.
