Job Overview:
We are looking for a highly organized and detail-focused Onboarding Specialist to join our People Operations team. This role will provide essential support in all aspects of the employee lifecycle, including onboarding, new hire orientation, and compliance, while ensuring accurate documentation and efficient recordkeeping. You will be responsible for ensuring that every new team member is guided smoothly through their first steps with the organization, helping create a consistent and positive onboarding experience. Key Responsibilities:
- Onboarding Management: Facilitate the onboarding process for new hires, ensuring all necessary paperwork, documentation, and system access are completed in a timely and efficient manner.
- Communication with New Hires: Maintain constant communication with new hires via email, phone call, and text to provide updates, answer questions, and ensure a seamless transition into the company.
- New Hire Orientation: Coordinate new hire orientation sessions, providing new employees with a smooth and engaging introduction to the company culture, policies, and benefits.
- Pre-Employment Verification: Manage pre-employment activities such as verification of driving records, driver’s licenses, background checks, and scheduling of pre-hire FDOT exams.
- Compliance: Ensure adherence to all HR-related legal and regulatory requirements, maintaining up-to-date knowledge of labor laws and company policies.
- Documentation and Recordkeeping: Maintain accurate and organized employee records in compliance with company policies and legal requirements.
- I-9 and E-Verify: Administer I-9 documentation and E-Verify processes for all new hires, ensuring compliance with federal regulations.
- Technology Systems Management: Support onboarding workflows within platforms such as GoCo, JazzHR, ClickUp, or other HRIS/Task Management tools.
- Scheduling & Coordination: Collaborate closely with the People Operations department (including Recruiting, Scheduling, and Zone Managers) to ensure timely start dates, smooth onboarding workflows, and proactive communication across teams.
- Candidate Experience: Ensure every new hire receives a positive, professional, and organized onboarding experience from offer acceptance through their first day.
- Issue Resolution: Troubleshoot common questions from new hires regarding paperwork, requirements, start dates, pay setup, uniforms, etc.
Qualifications:
- A Bachelor’s Degree in Human Resources or an administrative related field is preferred.
- Proven experience in an administrative role, preferably in a fast-paced environment.
- Exceptional organizational skills with the ability to manage multiple tasks and deadlines.
- Strong communication skills, both written and verbal.
- Detail-oriented and able to handle confidential information with discretion.
- Ability to work collaboratively with all levels of staff and management.
- Bilingual is preferred.
Pay: $45,000 Annually
